The Technical Challenge

The campaign required more than an off-the-shelf CRM; they needed a highly customisable, rapidly deployed, solution that could connect disparate systems and manage high-volume, real-time data flow. The key technical hurdles were:

  • Integration Complexity: Seamlessly connecting the front-end (Webflow), donation processing (Koalect, every.org), and marketing tools to ensure a single, accurate data record for every supporter.
  • Rapid Development: Delivering a robust, secure, and scalable platform under a tight, non-profit friendly deadline and budget.
  • Scalability & Security: Building a system capable of handling potentially thousands of donation transactions, rider registrations, and user logins securely.

My Approach & Solution

Leveraging the OutSystems low-code platform allowed for rapid, iterative development while providing the custom API integrations necessary for a complex, multi-channel campaign.

Custom Platform Architecture:

  1. OutSystems Development: Designed and engineered the core business logic and database structure within OutSystems, creating a central Constituent Relationship Management (CRM) hub tailored precisely to the fundraiser's unique workflows.
  2. API Integration Layer: Developed custom API connectors to establish two-way communication with key platforms:
    • Webflow Integration: Synchronised rider sign-up data and front-end form submissions directly into the CRM.
    • Koalect & every.org APIs: Ensured all donation records, payment statuses, and donor details flowed securely from payment platforms into the central database.
    • Marketing Funnel Tool Integration: Connected analytics and communication tools to enable automated, highly segmented outreach campaigns.
  3. Campaign Automation Workflows: Used OutSystems to build automated processes for donation receipting, welcome series for new riders/ambassadors, and real-time goal tracking updates displayed on the public website.
  4. Sponsor Portal: Integral to securing high value sponsors and providing proof of impact. OutSystems was used to create a private portal for sponsors to login and obtain real-time data relating to donors, estimated audience and total reach of assets with their logos, providing them with powerful insights into how their sponsorship has affected the campaign and how their involvement can promote their brand.

Impact & Results

This custom, integrated platform provided the efficiency and control necessary to professionalise the fundraising effort and effectively manage the campaign's growth.

  • Centralised Operations: Achieved a unified 360-degree view of all donors, riders, and sponsors by consolidating data from all external systems.
  • Zero-Friction Fundraising: Automated the donor journey from transaction to thank-you, ensuring timely, compliant, and personalised stewardship.
  • Accelerated Development: Utilised the OutSystems low-code environment to deliver complex, API-driven functionality significantly faster than traditional full-code development, proving instrumental in reaching the €1M goal.
